2. Information we collect
We may collect your name, company, email address, telephone number, project type, budget, timescale, project description, correspondence and any files you choose to upload. If a project proceeds, we may also process billing details, contract records, source materials, feedback and information contained in project files.
Our hosting and service providers may receive technical information such as your IP address, browser type, device information, timestamps, referring pages and security logs when you use the website or submit a form.
3. How and why we use information
We use enquiry details and supplied files to respond, prepare quotations and take steps you request before entering a contract. The lawful basis is contract. We use project information to deliver agreed services, communicate, invoice and maintain project records, also on the basis of contract. We keep tax, accounting and compliance records where necessary to meet legal obligations.
We rely on legitimate interests to operate and secure the website, prevent misuse, administer the business, establish or defend legal claims and improve our service. We balance those interests against your rights. We do not use enquiry details for unrelated marketing without an appropriate lawful basis.
4. Service providers and sharing
Enquiry form submissions are processed by FormSubmit and delivered to our Gmail inbox. FormSubmit uses anti-spam controls, including reCAPTCHA, and retains form submissions for 30 days; uploaded files are not available through its submission archive. The total size of uploaded files must not exceed 10 MB.
The site is intended to be hosted on GitHub Pages. Website fonts and icons may be delivered by Google Fonts and cdnjs. These providers may process technical connection information. We may also share information with professional advisers, contractors working under appropriate obligations, or public authorities when required by law. We do not sell personal information.
Some providers may process information outside the UK. Where required, we rely on recognised safeguards or another lawful transfer mechanism.
5. Cookies and similar technologies
We do not currently use advertising or analytics cookies. Third-party services used to deliver the site or protect the enquiry form may use necessary security technologies or process connection data under their own policies. If we add non-essential analytics or advertising tools, we will update this policy and request consent where required.
6. How long we keep information
We normally keep enquiries that do not become projects for up to 12 months. Project, contract and invoice records may be kept for up to six years after the relationship ends where needed for tax, accounting, contractual or legal purposes. We delete or anonymise information earlier when it is no longer needed. Hosting and service providers apply their own operational retention periods.
7. Security
We use reasonable organisational and technical measures to protect personal information. No internet transmission is completely secure. Please do not send passwords, payment card details, special category information or other highly sensitive material through the enquiry form. Contact us first if a project requires secure file transfer.
8. Your data protection rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict your information; object to certain uses; receive portable information; and withdraw consent where processing relies on consent. These rights are not absolute. To exercise a right, email info.fireballstudios@gmail.com. We may need to verify your identity.
You may complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint. We would appreciate the opportunity to address your concern first.
9. Children
Our services are intended for professional and adult clients. We do not knowingly collect information from children through this website.
10. Changes to this policy
We may update this policy when our services or legal obligations change. The date at the top shows the latest revision.
